Setting up premade messages


Premade messages are a very important tool for saving time and allowing your organization to standardize your message.  There are two types of premade messages.  There are personal premade messages, which are unique to each agent.  These messages can be created and changed by each individual agent.  There are also shared premade messages which can only be created and edited by an administrator.  These messages are available for all agents to use.

Shared Canned Messages:

To add or edit shared premade messages in your account you will need to log into the control panel at http://login.velaro.com

In order to edit shared premade messages, please follow these steps:

  1. Select Engage -> Shared Canned Messages

  2. To add a category to your shared messages select the green "+" graphic under the premade category list on the left. You are then presented with a box to add the name of the category

  3. To add a message to a category, select the category from the leftClick the green "+" button below the messages on the right

  4. Every premade message that you create must be assigned a short label.  Make sure your premade message label clearly identifies the context of this premade message in order to provide your agents with a quick reference within the Velaro Agent Desktop application

  5. Enter a message in the message field exactly how you would like the message to be displayed to the visitor in a chat

  6. In addition to the standard text of a premade message, each message may also be preconfigured to push a specific URL to the visitor's chat window. If the visitor does not have a popup blocker, this push-page event causes a new browser to launch using the configured URL. If the visitor's browser has a popup blocker, the push page is simply displayed as a clickable link. Push pages are optional for each premade message and should be left blank if you do not want to use it.  For more information on how to push a page to a visitor see: http://kb.velaro.com/KnowledgebaseArticle10166.aspx


After you are finished creating a premade message click the "Insert" option to save your message.

To cancel the current editing session click "Cancel".

Once a shared premade message has been created when an agent selects to use this premade message, this text is added to directly the transcript.


Personal Canned Messages:

One thing to note when adding a personal canned message is that you do not need to define a category for the messages.  To add or edit personal premade messages:

  1. Select Engage > Personal Canned Messages

  2. Select the green "+" graphic in the lower left hand side of the page

  3. Every premade message that you create must be assigned a short label.  Make sure your premade message label clearly identifies the context of this premade message in order to provide yourself with a quick reference within the Velaro Agent Desktop application

  4. Enter a message in the message field exactly how you would like the message to be displayed to the visitor in a chat


It is important to note that one if the unique and great features Velaro offers, allows agents to use any valid HTML within the chat conversation, and premade message may also be pre-formatted with HTML as well. So for example, the following text is perfectly valid for a premade message:

Click this chair for more information: <a target="_blank" src="http://www.mysite.com/chat1html"><img src="http://www.mysite.com/chair.gif" /><a>

The next time you or your agent(s) accept a chat the premade messages will then be accessible to them in the agent chat window.
